EU AI Regulation Compliance for Businesses
If your company uses artificial intelligence, the EU AI Act asks two things of it: put measures in place to train the people who use it (Article 4, in force since February 2025) and say when content has been generated with it (Article 50, in force since 2 August 2026). You do not need to be a tech company. It is enough that someone on your team uses ChatGPT to draft, Canva to design or an automatic translator.
We set this up for ourselves first. This page is what we learned doing it. It is general information, not legal advice, and the AI Act applies to UK businesses only to the extent they operate in or sell into the EU; take advice on your own situation.
What the rules require, in plain English
- Train your people. The company provides the means for anyone who uses AI at work to know how it fails, what must never be put into it and who to ask. It helps to keep evidence: a policy with no training record is paper in a drawer. How we do this is described in our AI training for companies.
- Say when there is AI behind something. Not on everything, and here is the expensive mistake: labelling your whole blog "generated with AI" does harm and nobody requires it. What is marked is images, videos and assistants.
- Know what you use and with what data. The inventory underpins everything else, and it is where the surprises appear: shared accounts, client files pasted into free tools.
The dates that the July 2026 reform changed, and what happens with fines, are in our guide to the EU AI Act for SMEs.
What we do
Diagnosis and inventory
What AI is really used in your company, with which data and for what. A survey of the team, not an assumption. Output: an inventory, a risk classification and an ordered list of gaps.
Literacy training (Article 4)
A practical session of about 90 minutes on your team's real use, plus material and the signed acknowledgement that goes into your training record. It is not a "what is AI" course.
Operational training
Prompting and verification applied to your business workflows. This is the level for people who already produce with AI every day.
Transparency kit (Article 50)
The texts and, above all, their placement working on your website: an AI use page, labelling of images where needed and an assistant notice if you have one.
Ongoing support
A monthly or quarterly fee: checking that everything is still current, a warning when the rules change, updates to the kit and a channel for questions. The rules move, so compliance expires on its own.
We quote to measure: the price depends on the size of the team and on whether there is a website to change.
We are our own client zero
Before selling this we built the complete file for Gecko Studio: an AI-use survey answered by all nine people on the team, a literacy policy, a training video, a risk classification of each system, a transparency kit placed on our own website, a designated and signed compliance officer, and all nine signatures of the training acknowledgement collected.
If you ask us how it is done, we do not give you theory: we show you ours.
Tell us your case
Start with one question: how many people use AI in your company? With that we can tell you where to begin and what it would cost.
