AI Training for Companies: Prepare Your Team for the EU AI Act

If anyone on your staff uses artificial intelligence, Article 4 of the EU AI Act asks your company to put measures in place to train them, and it has done so since 2 February 2025. We run the diagnosis, the course and the written record. Delivered remotely. We work from Ibiza and can train teams in Spain and, in English, in the UK and the Netherlands. From EUR 1,490 excluding VAT, with a fixed price in writing before we start.

This is a practical AI course for companies: focused on the tools your team already uses and free of jargon. General information, not legal advice. The AI Act does not apply directly to a business that operates only in the UK, but it can matter if you sell into the EU; check with your own adviser.

What Article 4 asks for

This is AI literacy: an obligation that is already in force and affects many more companies than realise it.

  • Who. Any company whose staff use AI at work: ChatGPT to write, Copilot in email, an automatic translator, Canva to design. You do not need to be a tech company.
  • What. The company provides the means for those who use AI to do it well: how it fails, what data must never go into it and who to ask when in doubt.
  • Since when. Article 4 has applied since 2 February 2025. The July 2026 reform keeps it: it asks for measures to train the team, not a guaranteed level for each person.
  • What is worth having. Evidence that training took place. Without a record, the training cannot be demonstrated, and it is what is missed most when someone asks.

Dates and fines are covered in our guide to the EU AI Act for SMEs.

What is included

Four steps, all in writing. We start by finding out which AI you really use.

  1. Which AI is used and what for. We go through the tools your team already uses, for which tasks and with which data. Output: a written inventory.
  2. AI literacy course. Practical training for the people who use AI: how it gets things wrong, what the law says, what never goes into a tool and how to verify what it returns.
  3. House rules for your company. A short document of rules adapted to your tools, which the team can read in five minutes.
  4. Checklist and record. What the Regulation asks of a company like yours, checked point by point and in writing, plus the record of who has been trained and when.

What your team learns

  • How AI fails, and why it does so with great confidence
  • What the law requires and of whom
  • Which tools are used and when content must be labelled
  • Your company's house rules
  • AI does not decide about people
  • What never goes into an AI tool
  • How to verify what it returns, in practice

What this is not

  • It is not a legal report. The final legal assessment, if you need one, belongs to your adviser.
  • It is not a generic "what is AI" course. It is adapted to your team's tools and tasks.
  • It is not a promise of compliance. It is preparing your team and leaving a written record.

We did it at home first: before offering it, we trained the Gecko Studio team and documented it in writing.

Price

From EUR 1,490 (excluding VAT). This covers the diagnosis, course, house rules, checklist and training record. The final price depends on team size and how many AI tools you use, and we give it to you fixed and in writing before we start.

Frequently asked questions

Is my company obliged to train its staff on AI?

If anyone on your team uses AI at work, yes: the obligation applies to companies that use AI, not only to those that build it. It is enough that you use ChatGPT, Copilot, an automatic translator or an AI design tool.

What happens if I do not?

It is an obligation under the Regulation, and the sensible thing is to be able to show that you have done what is in your hands: training completed, with a record. The penalty regime is set out by member states, and for a legal view of your case you should consult your adviser.

Can it be done remotely?

Yes. We work from Ibiza and the training is delivered remotely, so it works the same for a company in the Balearics, elsewhere in Spain, or abroad.

What do I receive at the end?

The inventory of the AI you use, your company's house rules, the Regulation checklist reviewed point by point and the team's training record.

What if I also want to put AI to work in my company?

That is the next step, decided afterwards. Once the team is trained, our AI control panel reads, sorts and replies to what arrives via WhatsApp, email, phone and web forms, and a person on your team decides the important things. See our AI agency page.

Tell us how many people use AI in your company and we will say where to start. Request your diagnosis. For the compliance side, see AI regulation compliance.
