AI Voice Agents for Business: When They Pay Off

An AI voice agent answers your business phone. It pays off in some cases and not in others. Here is how to tell the difference before you spend anything. This is general information, not legal advice.

What an AI voice agent is

It is a phone assistant that understands what the caller says and replies by speaking, in the caller's language. Behind it, it consults your business information (opening hours, rules, prices, diary) and can do simple tasks: take a message, book an appointment or pass the call to a person. It is not a "press 1, press 2" menu.

When it pays off

It usually pays off when several of these are true at once:

  • Many repeated calls: opening hours, location, availability, order status.
  • Missed calls: outside office hours, in peak season, or while the team is busy with someone.
  • Several languages that the team does not fully cover. This is one of the cases where it shows most, especially in tourism businesses.
  • A clear next step that can be recorded: a booking, a message, an alert to the person in charge.

When it does not pay off

  • Few calls, and mostly different from one another.
  • Emotionally loaded calls or delicate decisions, where callers expect a person.
  • Nobody will review what the agent has noted. A call that was answered but never followed up is worse than one that was not answered.
  • You do not yet know how many calls you receive or what they are about.

Measure first

Before you buy anything, spend two weeks noting how many calls come in, how many are missed and what they are about. With those three figures you can see whether there is enough repeated call volume to justify an agent. Any saving figure that does not start from there is a promise, not a measurement. We do not quote a generic price either: cost depends on call volume, languages and what the agent has to do, and it is worked out from your real calls.

What to settle before you switch it on

  1. Tell the caller. They should know from the first second that they are speaking to an AI. The EU AI Act has transparency obligations for systems that interact with people; the dates are in our guide to the EU AI Act for SMEs.
  2. Call data. A call can contain personal data. If it is recorded or transcribed, you need to inform the caller, decide how long it is kept and check what the provider does with it and where it processes it.
  3. A person who decides. The agent answers and notes; anything involving money or customers is approved by a person. There must always be a way out to "I want to talk to someone".
  4. Team training. Whoever works with the agent should know what it does, what it does not do and how to correct it. This is the Article 4 part of the Regulation: putting measures in place so that people who use AI know how to use it. See our AI training for companies.
  5. Test with real calls in each language before it answers customers.

Where it fits in your business

The phone is one more entry point for information, next to email and web forms. What matters is that whatever arrives by voice ends up organised in one place, with a person deciding the important things. We do this in our AI command centre, which brings the business information together and leaves the decisions to your team. It is part of the second level described on our AI agency page.

Frequently asked questions

Does it replace the person who answers the phone?

It should not. It pays off when it absorbs the repeated calls and leaves people the ones that need judgement, personal handling or a decision about money or customers.

Do I have to say the caller is speaking to an AI?

Yes, and it is best to do it from the first second. The EU AI Act includes transparency obligations for systems that interact with people. If you only operate in the UK, EU rules do not apply directly, but disclosing is still good practice and you should take your own advice.

Can it handle several languages?

It is one of the areas where it shows most, especially in businesses with tourists. Test it with real calls in each language before it answers customers.
